Job Description
To execute the daily operations and strategic objectives of the Company’s accounts receivable cycle through design, implementation, maintenance and management of all accounts receivable business functions and procedures with a primary emphasis on customer service, customer credit applications and collections. Contacts customers and co-workers to resolve any stage of collection that may exist; resolving discrepancies.
Reporting Relationship
- This position reports directly to the Accounting Manager
Detailed Responsibilities
- Perform all necessary steps to make sure the Company’s credit policy is complied with Company guidelines.
- Provide responsive customer service to the branches
- Month-end and year-end close procedures
- perform collection process in accordance with company’s written credit policy
- Deliver bank deposit to bank
- Print collection letters, review and mail
- Fax or email customer invoices, as part of the collection process
- Prepare final demand letters for severely delinquent accounts
- Manage third party collection, including maintaining Excel recap of results
- Review and recommend A/R account write-offs to Accounting Manager
- Prepare entry on Eclipse to write off uncollectible accounts
- Process & collect on NSF checks
- Process credit applications, set-up Eclipse, mail welcome letter
- Update changes to customer accounts in Eclipse (i.e. address, phone numbers, authorized employees, EPA, TACL, etc.)
- Server as primary backup to processing cash application and prepare bank deposit
- Process and record credit card payments as necessary
- Review detail aging report and adjust for “offsets” and application of credit balances
- Respond and reply to third party request for credit reference
- Manage the credit hold queue in Eclipse and notify customer and/or branch as needed
- Review accounts approaching inactive status and obtain updated credit report
- Reconcile customer accounts and resolve any billing issues
- Assist the company’s sales team by providing current credit information
- Maintain file of tax exemption certificates that supports every tax exempt account
- Maintain customer files – including credit applications, EPA and TACL documents
- Process customer A/R credit balances for check refund
- Maintain own workspace and file systems to comply with company guidelines
- Other duties are assigned
Performance Measurements
- Accounts receivable aging, percentage classified as current, 30+, 60+, 90+
- Bad debt losses – Accounts receivable written off in year as compared to budget
- Average collection days
- Timely processing of credit applications
- Customer service both internal and external
Minimum Requirements
- Associates degree preferred but not required
- Minimum two years experience in Accounts Receivable
- Experience with Eclipse accounting software a plus
- Credit administration experience
- Understanding of Accounting Principles including recording of debits and credits
- Advanced level proficiency with MS Office
